Your Challenges

YOU MUST CHOOSE…BUT CHOOSE WISELY!

Results of these Big Projects are only as good as the time, focus, and discipline put into them.

Poorly executed sloppy projects can lead to costly mistakes – even picking the wrong vendor or solution.  Thus, well-informed and educated decisions are crucial as your organization will live with them for years to come.

Decisions made by just a FEW people – for ALL the people!

The Projects can be daunting with their migraine-inducing level of info to consider.

And how bad is that Buyer’s Remorse feeling when realizing the wrong choice was made?  (Often $1 Million or more dollar choices!)

These projects take a LOT of time when conducted correctly.  Unfortunately, a high % of the time is spent performing tedious time-draining logistic process steps with the vendors.

Plus, it’s not exactly like the demands of your 40-50+ hour work week stop during the projects!

Typical Purchase Project Experiences

Do Your Procurement Projects often tend to go something like this?

1.  Your committee starts out fairly optimistic and ready to find the best solution!

2.  Then your poor team endures Presentations or Demo’s from vendor-after-vendor-after-vendor.

Each with countless options, Bells & Whistles “better than the competitor’s“, and specs, specs, and more specs.

3.  Fast-forward and your team isn’t sleeping well, and they just want it to be OVER!

Right when the most focus and clarity is needed, but they’d rather just flip a coin to make the decision.

4.  The BIG Decision is made by the team, but others question why that Vendor was picked.

5.  Post-Sale:  The Installation & Training Process goes FAR differently than you were told it would.

– Your Perspective:  Obtaining a new product or service obviously just begins everything when you order it.

– Vendor Perspective:  Most of their focus and attention on you is over “before the ink is dry” on your order.

What We Do for You…

“Whatever is worth doing at all, is worth doing well.”  – Philip Stanhope

There’s SO much to consider when making these crucial organization-wide decisions!

Most use a scoring matrix, but they’re often too vague – not diving deep enough into your specific needs.  Tailor-made dynamic Scorecards should be used to draw out the best decisions for your unique needs.

A little more time spent by us on the front-end, will pay dividends for you in the end.

*Have us Initiate, Coordinate, and Officiate the Vendor Logistic Steps!

1.  We work with you beforehand to create customized VendorPick Scorecard Matrix’s.

Objective & Subjective criteria tools to help capture aspects uniquely important to each project.

High-priority topics can be weighted heavier as desired for appropriate decision “sway power”.

2.  We send the RFP/Bid Request and Project Schedule to participating vendors via secure portal.

They post their Bid Proposals back via the portal for you to collect and begin reviewing.

3.  We create/maintain a Project Schedule of Events Timeline with milestones for all parties to use.

– Milestone Examples: RFP/Bid Request, Vendor Discovery Q&A Sessions, Demo’s/Presentations, Reference Checks and/or Customer Site Visits, “No Vendor Contact” Selection Period, Negotiation Period, Purchase Execution.

4.   We’ll enforce your “Rules of Engagement” all vendors must adhere to throughout the project.

We can be the Single-Point-of Contact vendors are allowed to talk to/thru for questions throughout the project process if desired.  (Perhaps at least during a “No Vendor Contact” Selection Period.)

This not only saves time/vendor distractions, but also helps prevent typical sales tactics, minimizes unauthorized “back door” conversations, and even neutralize some internal politics when team members have a strong bias for certain vendors or the incumbent vendor.

5.   We schedule ALL Demo’s or Presentations.  Conducted either at your site or virtually online.

We’ll act as your concierge, coordinating times that work for all schedules – which can be daunting.

For preparation, we’ll instruct the vendors on exact content you Want/Don’t want covered.

6.  As you make decisions, we provide updates to the participating Vendors.

We’ll inform those moving forward – and those who aren’t.

Have us handle the awkward and unfun “Dear John” rejection conversations.

7.  We then coordinate all the Post-Sale Project Processes.

Project Kick-off, Project Mgmt Gantt Chart Timeline creation, and everything else through Go-live Installation & Training.
